Privacy
What we collect when you sign up, who gets to see it, and how to have it corrected or deleted.
Effective September 2026. This is the privacy policy for pcsox.rallysquads.com, run by the PC SOX youth baseball club.
What we collect
- Player: name, birth date, jersey / pants / hat sizes, positions, and school.
- Parent or guardian: name, email address, and phone number.
- Emergency contact, if you give us one.
- Waiver signature: the name you type or draw, the date, and which version of the waiver you signed.
- Sponsors: business name, contact details, logo, and payment status.
- Fan photos you choose to send us.
- Family account, if your team uses a team code: your email address, a display name you choose (the other families see that name, never your address), the date you joined, and a record of each sign-in — the time, the result, and the internet address your device was using.
- Page-view counts. No cookies. Your browser keeps a random id — not your name, email or address — so we can tell a new visit from a repeat one, and with each page view we note the city your connection resolves to and the site that linked here. Those lines are folded into daily totals and the raw lines deleted within a few days. Every page’s footer carries a Don’t count my visits link that turns this off for your browser and deletes the id.
Why
To run the team — the roster, the schedule, uniform orders and dues — and to contact you about your player. We also use it to publish the public roster and team photos, and to thank the businesses that sponsor us.
What is public
On this website, three things are public:
- The roster, which shows a player’s first initial and last name (“M. Rodriguez”), number, a photo if one was added, and a season stats page built from the game feed. Position is never published. A family can have a child taken off the page: see Changing or removing information.
- Photos and highlights that parents have sent us.
- Sponsor names and logos.
Nothing else about a family is public. Addresses, birth dates, phone numbers, emails and sizes never appear on the website.
Who sees the rest
Only the PC SOX coaching staff, and the services that run the site for us:
- Vercel — hosting and file storage.
- Resend — the email we send you.
- Supabase — coach and family sign-in.
- GameChanger — the app we link to for scores.
- Facebook — the team’s timeline on the Social page, only once you tap to show it; Facebook then knows you visited.
- OpenAI — only when a coach makes a highlight poster with a player’s photo, and only after the family has agreed; the coaches’ own record notes each time.
- RSVPs and last-minute changes come from the coaches.
We never sell your information, and we never share it for advertising.
Children
This site is for parents and guardians. Players do not sign themselves up — only a parent or guardian may submit a form here, and only for their own child.
How long we keep it
- Player and family information: through the season the player is registered for. It is removed when a coach cleans up the roster, or sooner if you ask.
- Nightly backups: kept for a limited window, then deleted; one copy from the first of each month is kept longer. Removing a player’s record removes it from every copy, the monthly ones included.
- Email records: kept for 90 days.
- Family accounts: the list of who is in the team space is kept until a coach takes you out or starts a new season, and sign-in records are kept for a limited window and then deleted. Signing in leaves your device signed in for up to a year; a coach can end that at any time, on every device at once.
The team code is one code for the whole team, not a personal invitation. Anyone a family passes it on to can use it to get in, which is how it is meant to work — and it is why a coach changes the code at the start of a new season. If you would rather your child was not behind it at all, the next section is how to say so.
See, fix or delete your information
Email from the address you signed up with. Tell us the player’s name and what you want — a copy of what we hold, a correction, or deletion. We answer within 30 days.
Deleting also takes the player off the public roster and removes the photos we control. We can’t remove photos other people have already shared on Facebook or elsewhere.
Sponsors
For sponsors we keep the business name, a contact, the logo and the payment status for the length of the sponsorship term. Logos are public on the sponsors page while the sponsorship is active.
Changes
If this policy changes, we’ll update the date at the top of this page. Questions about any of it go to . Our site terms cover the rest of how the site works.
